Email Trash
ITS has been automatically emptying email trash that has been sitting in your mailbox for 30 days. Beginning this weekend ITS will be automatically emptying email trash that has been sitting in your mailbox for 7 days.
Email Quotas
Storage space is not unlimited and costs a significant amount of money; we are using up our available storage quickly. Backing up the email system daily is getting close to taking more time than we have available each day. Even after we have pleaded with people to clean up their email accounts, some have not. And, some people use more storage than their fair share. We now have only one choice on how to alleviate these problems and still provide good reliable, equitable service to our 4,500 email users. Effective June 25th we are placing a quota on the amount of email that you can save. That limit will be 1 gigabyte.
How did ITS arrive at that limit?
We examined all the email that is stored and found that some individuals were storing more than 5 gigabytes of email but that most of the people used less than 1 gigabyte of storage; 20% of the people use 80% of the resources available. In order to accommodate the majority of users the limit was placed at 1 gigabyte. About 10% of our users store more than a gigabyte of email.
How can I find out how much email I have stored?
- On the main toolbar at the top of your screen click on Tools | Check Mailbox size
- In the View Group box, click on Sent Items, Received Items, or Posted Draft Items. When you select a view, GroupWise searches for the selected items and displays them starting with the largest file size to the smallest. This then will provide you information for cleaning up the biggest user of storage space. For example, in my email box under Sent Items my largest file is 20821449 so if I needed to clean my email up this would be a good candidate to delete. And you can see that I am only using 77.4 MB of storage so I am not near my 1 GB limit.
If you do not get your email stored to less than 1 GB by June 25th you will not be able to send an email until the size your files stored is beneath the limit. On June 25th the percent of your mailbox storage limit will be accurate; now it is set for the campus. The easiest way to stay within limits is to empty trash daily and clean sent mail weekly.
Help Desk
Often times ITS staff must leave their desks to fix user problems so calling a staff member does not ensure that your problem will be resolved in a timely manner. An ITS staff member may also be ill or on vacation. The best way to ensure that you will get your problem resolved is to email the Help Desk. All email and phone calls are placed into RT Tracker. Many times during a day members of the ITS staff check RT tracker to identify problems that need resolution; so your request is heard and properly categorized. This way you have many eyes looking to resolve the problem rather than just one.
As a reminder our priority for fixing problems is Institutional; Instructional; Departmental; Individual who cannot complete their work due to technology problems; Individual who can do some of their work with technology problems. |
