Slow Email
Starting late yesterday afternoon I bet the slowness of the email system started driving you to say some unkind things about technology. Me too! I was in the middle of an important email when the system literally crawled to a halt. This time the culprit was not ITS systems, it was an office that sent out a massive email. As a reminder, please work with ITS in sending out massive emails---there are procedures etc. that we can put in place that will have little or no effect on the over 4,336 email users that suffered from this occurrence. Further, that problem then corrupted our database files and that is why the system was slow this morning. Around noon ITS staff rebooted the server and the email system is back to normal (whatever that is).
Preparation for Email Database Maintenance this Weekend
This weekend we will be running some important maintenance checks on the email system. In preparation of that work we are asking users to clean out their trash. Files in trash slow the email system down as Trash was not meant to be used as a filing cabinet. It would be the equivalent of keeping all your important documents in your garbage pail. ITS will be automatically emptying trash each week. If you have messages that you want to save, please move them to another folder.
As of this moment there are 3.2 million email messages in mailboxes or folders on faculty and staff computers. We back these up every night.
Further the email system is slowed because people keep items in Trash or in their Sent files. For example, one individual has 7,500 pieces of email in their Trash, another has 4,600. One person has 10,500 messages in their sent folder. Help us speed up the email system by cleaning up these files!
Email Search Capability
Did you know that you can use the "Filter" capability in email to display only certain items? For example, you could set a filter that only displays messages containing a certain term.
To set a basic filter:
- Double click the Filter icon located on the upper right . If a filter is currently in use, it will appear as a colored icon. If no filter is currently in use, it will appear without color.
- In the Filter window, enter the filter terms you wish to use. If you are searching for a message from a person, enter his or her name in the From: filed. If you sent a message to a person, enter that name in the To:, CC: field. If you are filtering for a particular piece of informtion, enter those terms in the Subject: or Message, Attachments: field. If you are looking for a particular category or information (Urgent, Personal, etc.) enter it in the Category: field.
- Click OK If the filter turns up any results, it will display only those items. If there are no results, nothing will display.
- When you are done with the filter, double-click the Filter icon and select Clear Filter.
