Technology Procedures You Should Know

Email should be Purged Periodically

There is not infinite storage space on the network so it is necessary that you purge your email periodically. All students have 10 MB of storage space for their email. You should purge the Inbox, Sent messages, Trash and Sent under Local Mail.

What if I want to keep my email?

You have two basic options:

  • Save any message and attachment that you want to keep to a disk space that is outside the email system (your F: network drive; your C: or A: local drives). Note that saving an email message to another location does NOT save any attachments-you must save each attachment separately.
  • Archive your email on a regular basis.

You cannot Save Files to a Lab or Residence Hall Lab PC

All students have 55 MB of network storage that can be accessed from anywhere on campus. Files should be saved to your F: drive.

If you are working on an NCC--owned PC anywhere on campus, you can download files; install programs, save files etc., but all of this will be erased as soon as the next person logs on. The PC will reset itself to the standard NCC settings once the PC is rebooted. This means that any file you saved to the PC's local hard drive, C:, will be lost.

You have several choices to ensure that those files are kept.

  • Save files to your network drive, F:. The files will then be available from any other NCC supplied PC.
  • Save files to a ZIP disk. The labs in Carnegie have at least two PCs with ZIP Disks.
  • Save files to a floppy disk. Floppy disks however, hold only 1.4 MB of data, which may be less than the size of some PowerPoint files.

Logging into the Network

In order to print or save files to your F: drive, or use any software that is accessed over the network, you must first log onto the network.

NCC runs a Novell network. The login box (red and gray) is the first thing that you see when you turn on a NCC PC. Logging in there allows you to access printers, scanners, network directory (your F: drive), network loaded software and files that your instructors may have posted for you on the network.

Always ignore (just press the cancel button) a login box that asks you for a Windows password. This is a machine specific account that is meaningless in the lab environment.

If you sit down to a NCC PC that is not acting properly simply reboot the PC and the standard settings will be returned.

All Drive and Disks Fail at some Time

If you choose to save files only to your C: drive on your personal computer or to a floppy disk or ZIP disk when working on a NCC PC, there is a probability that at some time you will loose some or all of your valuable information.

  • When working on a NCC PC you should save your files to the F: drive.
  • For files on your own PC, always make a copy onto another drive or disk.

Voicemail is Purged after 30 Days

There is not infinite storage on the phone mail system so voice mail is purged after 30 days. Voice mail is by nature transient and there is NO back up or archiving of voicemail messages.

If you need to keep a record, you will need to transcribe any messages.
