Email FAQ


North Central College provides email accounts for all faculty, staff and students.

What is my email quota?


Accounts that have been migrated to Office365 email have 50 GB of storage space for their email.  Faculty/Staff who are still on GroupWise have 2GB of storage space.

How do I archive my email?

 


To help reduce the size of your mailbox, you can opt to archive your messages.  Archived messages can be easily retrieved.  You have the option of manually archiving messages, or you can opt to archive on an automated schedule. Please follow the steps below for the archiving method you wish to use.

Archive your mail using Mac OS

Configure an Archive Location: Choose a location to archive your information, either on the network or on your local computer drive. Contact ITS if you need additional information about archive locations.

  1. Launch the Groupwise client

  2. To choose a location where GroupWise will store your archive, click the Edit Menu

  3. Click Preferences.

  4. Click Environment.

  5. Choose File Location from the drop-down menu.

  6. Under Archive Directory, select or create a folder where you want your archive to be located by clicking the find button on the right.

  7. Click the Select button.

  8. Click OK and Done .

Configure Automatic Archiving: You can set GroupWise to automatically archive information. Once this is set up, GroupWise will automatically archive your old information to the specified archive location.

  1. Make sure you have already set up an archive location

  2. Click the GroupWise Edit Menu

  3. Click Preferences.

  4. Click Environment.

  5. Select Cleanup from the drop-down menu.

  6. Under Mail and Phone, Click Auto-Archive After.

  7. Chose an amount of time in days (Note: mail is automatically deleted after 60 days.)

  8. Under Appointment, task, and reminder note, Click Auto-Archive after.

  9. Chose an amount of time in days

  10. Click OK.

  11. Click Done.

Manually Archive Mailbox Item: You can also choose to manually archive items. This will allow you to choose items to archive at any time. You can manually archive items even if the automatic archive is set up.

  1. Make sure you have already set up an Archive location

  2. Open mailbox, select the messages that you want to archive (Tip: You can select several messages at a time by holding down the apple key on your keyboard while clicking on the items. Also, you can select consecutive messages by clicking the first message you want to archive, then hold down the shift key and click the last message you want to archive.)

  3. Once the messages are selected, click the Actions Menu then Archive.

Restore Archived Items: Restoring allows you to view your archive. You can also take items from the archive and put them back in your active mailbox.

  1. From GroupWise click the File Menu.

  2. Click Open Archive

  3. Select any message s that need to be restored.

  4. Click the Actions Menu then click Unarchive. This will move the selected messages from the archive back to your main GroupWise mailbox.

  5. Click the File Menu then Close Archive to close the archive and return to the main mailbox

Specifying where Archives are Stored

  1. Click Tools -> Options.

  2. Double-click Environment, and then click the File Location tab.

  3. Specify the location of your archive directory in the Archive directory field.

  4. Click OK.

Manually Moving an Item to the Archive

  1. In your Mailbox, select the items you wish to archive.

  2. Right-click on the message and select Archive (You can select several messages at a time by holding down the ctrl key on your keyboard while clicking on the items. Also, you can select consecutive messages by clicking the first message you want to archive, then hold down the shift key and click the last message you want to archive.)

Archiving Items Automatically

  1. Click Tools -> Options.

  2. Double-click Environment, then click the Cleanup tab.

  3. Select Auto-archive after: for the item type you wish to auto-archive.

  4. Specify the number of days after the item is delivered or completed that you would like it to be archived.

  5. Click OK.

Viewing Archived Items

  1. In the Main GroupWise window, click File > Open Archive. (Open Archive will become checked)

  2. To return to your mailbox, click File-Open Archive. (Open Archive will become unchecked)

What is my email address?


All student, faculty, and staff members email addresses are in the following format:

username@noctrl.edu

 

When will my account be deleted?


After students graduate, they are allowed access to their account for one term (not including summer) beyond the graduation term. Example: June 2013 graduates' email accounts will be deleted after the conclusion of the Fall 2013 term (some time in early January 2014). Students will receive email notification about 1-2 weeks prior to account deletion.

If you would like to save your messages, you will need to forward your messages to a different account.

Why can't I send email in GroupWise?


Once you have exceeded your email storage quota, you will be prohibited from sending any messages. You can check your mailbox size in two ways: by checking the Webmail storage icon

or by selecting Tools->Check Mailbox size in the Groupwise Client.  Please delete or archive items you no longer need to reduce your mailbox size.

If you cannot send email through your phone, it may be configured incorrectly. Please verify that your settings are correct by following the instructions on the email configuration page.

How do I set my Out of Office message in GroupWise?


You can set a vacation rule using the Groupwise Client on a campus computer or via Webmail.

  1. Select Tools -> Vacation Rule.

  2. Check the Activate my vacation rule box.

  3. Type a meaningful Subject and write an away message.

  4. Check Reply to External Users box, if you want to show this reply to people outside of North Central.

  5. Set the Start Date and End Date. When you get back from vacation, your vacation rule will automatically turn off because you set an End Date.

  6. Click Save.

Webmail

  1. Navigate to https://webmail.noctrl.edu

  2. Click the gear icon in the upper right corner of the screen and select Options

  3. Select the Rules Tab

  4. Select the Vacation from the drop-down menu and select Create.

  5. Name for the rule then type a meaningful subject and message. Click Save.

  6. Check the box next to the rule you want to select and click Save.

 

How do I change my password via GroupWise Webmail?


 

  1. Navigate to https://webmail.noctrl.edu and login using your current password.

  2. Click the gear icon in the upper right corner of the screen and select Options

  3. Click on the Password tab

  4. Complete the Old Password, New Password and Confirm fields

  5. Click Save

 

How do I check my mailbox size in GroupWise?


You can check your mailbox size in two ways: by checking the Webmail storage icon
or by selecting
Tools-> Check Mailbox size in the Groupwise Client.  Please delete or archive items you no longer need to reduce your mailbox size.

I am unable to send/receive email on my phone after a password change. How do I update my email password on my Android device?


  1. Turn on your Wi-Fi or 4G internet connection
  2. Go to your email application on your phone and select Settings.
  3. Select your North Central email account.
  4. Under Server Settings, Select Incoming Settings
  5. In the password field, type in your new password.  Select Done.
  6. The previous step will automatically bring you back to the account settings page. Under Server Settings, Select Outgoing Settings
  7. In the password field, type in your new password.  Select Done.

 

 

 

 

I am unable to send/receive email on my phone after a password change. How do I update my email password on my IOS device?



  1. Select the Settings icon
  2. Select Mail,Contacts, and Calendars
  3. Select your North Central Email account
  4. Select Account
  5. Under the Incoming Mail Server, update your password  in the password field.
  6. Select SMTP under the Outgoing Server Settings.
  7. Select smtp.noctrl.edu under Primary Server
  8. Under the Outgoing Mail Server , update your password  in the password field. Click Done.

     

GroupWise Webmail Error: "Your login is not current. Please login again."


This error usually occurs when settings are incorrectly configured in Internet Explorer. Please follow the steps below to update your IE settings.

  1. Go to Tools->Internet Options
  2. In the Browsing history section, click Settings

     
  3. Check for new versions of stored pages should be set to "Every visit to the page"

     
  4. Click OK to close the Settings window.
  5. Click OK to close the Internet Options window.

 

How do I grant someone access to my Groupwise mailbox or calendar?

To grant another user proxy rights to your mailbox:

1. Click Tools > Options.
2. Double-click Security, then click the Proxy Access tab.
3. To add a user to the list, type the name in the Name field, then when the full name appears, click Add User.

4. Click a user in the Access List.
5. Select the rights you want to give to the user.

  • Read: Read items you receive.
  • Write: Create and send items in your name, including applying a signature (if one is already created), assign categories to items, change the subject of items, perform tasklist options on items, and delete items.
  • Subscribe to my alarms: Receive the same alarms you receive.
  • Subscribe to my notifications: Receive notification when you receive items.
  • Modify options/folders: Change the options in your Mailbox. The proxy can edit any of your Options settings, including the access given to other users. If the proxy also has Mail rights, he or she can create or modify folders.
  • Read items marked Private: Read the items you marked Private. If you don’t give a proxy Private rights, all items marked Private in your Mailbox are hidden from that proxy.
     

6. Repeat steps 4 and 5 to assign rights to each user in the Access List.
7. Click OK.
8. To delete a user from the Access List, click the user, then click Remove User.

Becoming a Proxy User in Another User’s Mailbox

1. In the main Groupwise Window, click File > Proxy.
2. To add a user, type the name in the Name field, then click OK.

  • The user is added to the proxy list and the user’s Mailbox is opened. The name of the person for whom you are acting as proxy is displayed at the top of the Groupwise window.
  • If the user has not yet given you proxy rights in his or her Access List, the name is added to the Proxy List and the user’s Mailbox does not open
     

3. To return to your own Mailbox, click the folder list header drop-down list, then click your name. 
4. To remove a user, click the name, then click Remove.

How do I create a filter in GroupWise to view only my unread messages?

To sort your emails, you will need to setup a filter in the Groupwise Client. The instructions below do not work in Webmail.

  1. Open the Groupwise Client on a campus computer.
  2. Click on the word 'Find'.  It is located to the right side of the window just above the email.
  3. Select 'In 'Mailbox' folder'
  4. Click 'Advanced Find'.
  5. From the drop down menus select the following options: 
    'Item Status', 'Does not include (!)', 'Read', and 'End'.
    Click Ok.
  6. Click Save
  7. Type in a name for the filter that you have created and click Ok.
  8. It will then sort your mailbox to display unread emails.
  9. To clear the unread sorting, click 'Find' and the clear.
  10. To re-filter your emails, click 'Find' and then your advanced search filter will be displayed at the bottom.
