Technology Procedures You Need to Know

Email should be Purged Periodically

There is not infinite storage space on the network so it is necessary that you purge your email periodically. You should purge the Inbox, Sent messages, Trash and Sent under Local Mail.

What if I want to keep my email?

You have two basic options:

  • Save any message and attachment that you want to keep to a disk space that is outside the email system (your F: or N: network drive; your C: or A: local drives). Note that saving a email message to another location does NOT save any attachments-you must save each attachment separately.
  • Archive your email on a regular basis.

Only Files Saved to the Network are Backed Up

All files that are stored on the F:, N:, W:, S:, are backed up on a daily basis by ITS. Any files that you save to your local C: drive, exists only in that folder. If your C: hard drive fails, you will lose files-unless YOU back them up to another drive, such as a floppy disk or a network drive.

Please note that all hard drives fail sooner or later. If you choose to save files only to your C: drive there is a high probability that at some time you will lose some or all of your valuable information.

Voicemail is Purged after 30 Days

There is not infinite storage on the phone mail system so voice mail is purged after 30 days. Voice mail is by nature transient and there is NO back up or archiving of voicemail messages.

If you need to keep a record, you will need to transcribe any messages.
