GroupWise Email Archiving

To help manage the size of your mailbox, you can opt to archive your messages using the Groupwise client.  Archived messages are easily retrievable for future viewing.  You can manually archive messages, or you can configure Groupwise to archive on an automated schedule. Configure Archiving - Groupwise for Windows

Specifying where Archives are Stored

  1. Click Tools -> Options.
  2. Double-click Environment, and then click the File Location tab.
  3. Specify the location of your archive directory in the Archive directory field.
  4. Click OK.

Manually Moving an Item to the Archive

  1. In your Mailbox, select the items you wish to archive.
  2. Right-click on the message and select Archive     
    Note: If you archive a sent item, you will not be able track the status of that item

Archiving Items Automatically

  1. Click Tools -> Options.
  2. Double-click Environment, then click the Cleanup tab
  3. Select Auto-archive after: for the item type you wish to auto-archive.
  4. Specify the number of days after the item is delivered or completed that you would like it to be archived.
  5. Click OK.

Viewing Archived Items

  1. In the Main GroupWise window, click File > Open Archive. (Open Archive will become checked)
  2. To return to your mailbox, click File-Open Archive. (Open Archive will become unchecked)

Configure an Archive Location

  1. To choose a location, where GroupWise will store your archive, click on GroupWise on the menu at the top of the screen.
  2. Click Preferences.
  3. Click on Environment on the right side
  4. Choose the File Location tab.
  5. Under Archive Directory, select or create a folder where you want your archive to be located by clicking the folder icon on the left.
  6. Click the Select button.
  7. Click OK and Done .

Configure Automatic Archiving:

  1. Make sure you have already set up an archive location
  2. Click the GroupWise Edit Menu
  3. Click Preferences.
  4. Click Environment.
  5. Select the Cleanup tab.
  6. Under Mail and Phone, Click Auto-Archive After.
  7. Chose an amount of time in days
  8. Under Appointment, task, and reminder note, Click Auto-Archive after: Chose an amount of time in days
  9. Click OK.
  10. Click Done.

Steps to Manually Archive Mailbox Item:

  1. Make sure you have already set up an Archive location
  2. Open mailbox, select the messages that you want to archive
  3. Once the messages are selected, click the Actions menu then Move to Archive.


Steps for Restoring Archived Items:

  1. From GroupWise click the File Menu.
  2. Click Open Archive
  3. Select any message s that need to be restored.
  4. Click the Actions Menu then un-check Move to Archive. This will move the selected messages from the archive back to your main GroupWise mailbox.
  5. Click the File Menu then uncheck Open Archive to close the archive and return to the main mailbox.
